VACANCY PA/OFFICE ADMINISTRATOR
Kishugu Aviation Division (Pty) Ltd is seeking to employ a PA/Office Administrator

Position reports to: Head of Department: Logistics

Minimum Requirements:

  • Own transport
  • Good interpersonal and communication skills.
  • Computer literate.
  • Focus on detail and accuracy.
  • Ability to function independently.
  • Flexible and ability to work in a team.
  • Ability to work under pressure and meet strict deadlines.

Minimum Experience:

  • Grade 12
  • Previous experience/exposure in logistics in the aviation industry.

Job Profile as per Position (Key Performance Areas) PA Support (KPA)

  • Utilises computer software packages to produce correspondence, spreadsheets, reports, quotations, and tenders support documents.
  • Takes minutes of meetings, transcribes, types, and distributes minutes and agendas.
  • Sets up and maintains an electronic and hardcopy filing system.
  • Communicate with the leadership regarding customer’s requests and concerns. Complete other tasks as assigned.
  • Reacts to urgent requests/issues and contacts relevant managers.
  • Follow up on minutes, action points, and other deadline issues.
  • Act on behalf of the Manager as specifically s authorised.
  • Maintains integrity when exposed to confidential information.
  • Draft communications on the manager’s behalf.

Office Administration (KPA)

  • Ensure Daily and weekly fuel records are kept up to date.
  • Ensure Air Maestro records are kept up to date.
  • Respond to requests for documentation and information from the Manager.
  • Performs various aspects of project administration including document management, research, and compilation of reports.
  • Monitors and controls specific budget costs and petty cash.
  • Executive general ad hoc duties in areas of responsibility as per requirements.

Travel Arrangements for the Manager (KPA)

  • Makes travel/source travel arrangements for air travel, accommodation, and car hire.
  • Respond to changes to travel plans and make necessary arrangements.
  • Process ad hoc S&T claims.

Diary Scheduling (KPA)

  • Schedules electronic meetings in calendars on the appropriate system.
  • Prepares and updates schedule for meeting rooms.
  • Manage the Manager electronic diary.

Inventory (KPA)

  • Ensure all inventories and stock are recorded.
  • Maintain stores in an acceptable manner and ensure issue and return procedures are followed at all times.
